Using The Teacher Invoices Add-on

The Teacher Invoices Add-on can be enabled on the Integrations & Add-ons page in your Teachworks account. Once enabled, you can customize the settings based on your specific requirements. Settings include:

  • Invoice Title: Displayed at the top of the teacher invoice.
  • Teacher Address Details: Controls how the teacher’s address appears on the invoice using Merge Tags.
  • Company Address Details: Controls your company’s address display on the invoice using Merge Tags.
  • Default Instructions: Set as default on the Teacher Invoice form, editable for individual invoices.
  • Lesson Statuses: Specify which Lesson statuses are included on Teacher Invoices; leave blank to include all.
  • Lesson Description: Use merge tags to set description for lesson line items, default includes the date.
  • Non-Teaching Events: Use merge tags to set description for non-teaching line items, default includes the date.
  • Enable Sales Tax: When enabled, set a default tax rate added to the invoice subtotal.
  • Default Sales Tax Rate: Sets the default tax rate on the Create Teacher Invoice form, changeable for each invoice.
  • Default Sales Tax Label: Label for sales tax row if specified, can be edited for each invoice.
  • Notify Company of New Invoice: When enabled, sends an email to your company address for new teacher invoices.
  • Exclude Paid Records: When enabled, prevents lessons with payments from being added to an invoice.
  • Allow Teachers to Create Invoices: Enable to let teachers create their invoices; administrators can do this by default.

Once you have selected your settings, you can go to Employees > Teacher Invoice and click “Create Invoice From Teacher” to start generating teacher invoices.

On the Create Teacher Invoice Form, you’ll be able to select the relevant period and even preview the invoice to make sure everything is correct.

In teacher accounts, teachers can go to Invoices > Create Invoice to generate an invoice. 

If there’s an amount due on the invoice, a payment form will appear at the bottom with the same total. You can adjust the date, add a description, and choose to email a pay slip to the teacher. Submitting the form records the payment and marks the lessons as “Paid” on the teacher’s Hours & Earnings page.
