Whether your tutors teach online or in classrooms at a tutoring centre, effective location management is essential. Accidental double booking of venues or failing to provide online meeting links in a timely manner can easily be avoided with tutor management software like Teachworks.

In this article, we’ll take a closer look at the various location features we offer to help you stay organized.

Managing Multiple Locations

Teachworks makes it easy to add and manage multiple locations, but before diving in you’ll need to figure out which method makes the most sense for your business setup. There are two methods for managing different locations in Teachworks:

• Method 1: The first method works best if your locations are within a single business and teachers and students are not segregated by location. In this case, you can go to Account & Settings > Locations > Add Locations to add in the necessary data. You can also add sub-locations, so if you have specific rooms within a building, you can add the rooms as sub-locations.  

• Method 2: If your business has multiple locations that operate independently with their own manager, teachers, students, billing etc, you can create a master account and then add separate Teachworks branch accounts for each location. Managing Online Lesson Locations

If your tutoring company offers online lessons, Teachworks offers a few different features that allow you to add locations as clickable links. This makes it quick and easy for tutors and students to join their online lessons by clicking the link in their calendar or their Lesson Reminder Emails. Below is a quick overview:

1. Lessonspace Integration: Teachworks offers a direct integration with Lessonspace, a platform designed specifically for online tutoring. Once you’ve enabled the integration and linked your accounts, an “Online Lesson Space” location is added to your Teachworks account automatically. This location can be assigned to all lessons offered through Lessonspace and spaces are handled automatically based on the tutor and student(s) assigned to lessons. 2. Location Links Add-On: The Location Links Add-on allows you to convert a location name to a clickable link. If you offer lessons through an online whiteboard or you use meeting rooms through platforms like Zoom, Skype or Google Meet, you can use the add-on to add these as location links. Students and tutors can click this link in their calendar or Lesson Reminder notifications to easily join their online lesson. 3. Teacher Location Links Add-on: This add-on allows you to create a single general location, such as “Zoom Meeting Room”, and uses links set on tutor profiles to display a clickable link in the calendar and Lesson Reminder emails. The Location Calendar

In addition to the Main Calendar with its various filters and features, Teachworks offers a dedicated Location Calendar that allows you to view calendar events by location. The calendar offers a few useful timesavers, including:

• The ability to toggle between Day and Week views.
• The ability to click a time slot to quickly add a lesson (location and time will be prefilled based on your selection).
• The ability to click and drag lessons between locations to assign them to another location.
• A date picker to quickly jump to the relevant date.

Location Conflict Checking

Teachworks offers built in conflict checking that can be enabled for each of the locations you add to your account. Simply enable the “Show Conflicts” setting if you would like to include conflict checking for a particular location.

Conflicts will be displayed if there are other lessons (excluding missed or cancelled) or non-teaching events that use the same location.

By default, conflict checking is done by clicking the “Check Conflicts” button when scheduling lessons. However, with our Conflict Validator Add-on you can automate the process and prevent scheduling altogether.

Teachworks offers various features to simplify location management for your tutoring business.
