FAQ: Why Can’t My Tutoring Clients Create Their Own Teachworks User Accounts?

Tutoring companies using Teachworks can add profiles for each of their clients using a few different methods. Once profiles are created, tutoring companies have the option to enable user accounts for their clients. This process cannot be initiated by the client.

Many popular software solutions allow clients of companies to sign up for a user account on their own. As a result, this workflow is sometimes expected and we’re asked why tutoring clients can’t sign up for a user account on their own.

In this article, we’ll provide more information about the workflow in Teachworks. We’ll also explain why we’ve designed it this way.

1. Adding Profiles

Profiles can be added manually, one at a time or you can use an import template to speed up the process. 

If you use our Custom Forms Add-on, profiles are created automatically once a client completes a custom form. Similarly, if you use our Website Booking Plugin, a profile is created automatically if a new client completes the booking form.

2. Enabling Teachworks User Accounts

To enable a user account for a client, you can navigate to their profile and select the “Enable User Account” checkbox and submit the form. 

If the client has a valid email address captured on their profile, an email will be sent to them with a confirmation link that they can click to confirm their account and set a password.

If you would like to enable user accounts for multiple clients, you can use our Bulk Enable User Accounts Add-on to speed up the process.

Once you’ve enabled this add-on, you’ll be able to select multiple clients using checkboxes and then click the “Enable User Accounts” button to send out confirmation emails in bulk.

3. Why We’ve Opted For This Design

We chose this approach to ensure a personalized and secure experience for both tutoring companies and their clients. This approach:

• Limits Confusion: Client accounts provide essential scheduling, billing, and profile information. Allowing clients to register independently could result in empty accounts, creating confusion.
• Improves User Experience: By setting up accounts for clients, you can tailor the user interface and experience to align with your specific services, branding, and communication preferences. 
• Enhances Onboarding: A manual process enables your tutoring company to guide clients through the onboarding process, ensuring they understand Teachworks’ features and functionalities. This can lead to better engagement and utilization. For example, if you use our Lesson Requests Add-on, you can guide your clients through the request process. Once they know how the feature works, they will be able to easily request future lessons.
• Keeps Everything Secure: Tutoring companies handle sensitive student and client data. By manually enabling accounts, you’ll maintain control over who has access to this information, ensuring privacy and data security.
