Stay Organized: Color-Code Your Calendar With Teachworks

Keeping your schedule organized is a crucial part of managing your teaching business. Teachworks simplifies this task by providing a convenient color-coding feature for your calendar. You have the flexibility to categorize events by student, teacher, location, or service, ensuring that your daily operations remain clear and well-structured. 

In this quick guide, we’ll walk you through the simple steps to set up your calendar’s color-coding system.

The Administrator Account

As an administrator, you hold the authority to choose the color-coding method for your entire Teachworks account. To get started, follow these straightforward steps:

  1. Access your “Account & Settings” tab and click on “Account Settings.”
  2. Scroll down to the “Calendar Settings” section.
  3. Locate the “Event Colors by” setting and choose your preferred method (student, teacher, location, or service).

Don’t forget to save your settings after making your selection.

Staff & Teacher Accounts

Employee accounts in Teachworks allow individuals to set their own color-coding preferences. By default, employee events are color-coded based on students, but this can easily be modified by following these steps:

  • For employees: Click on “Profile” and scroll to the “Calendar Settings” section to update the “Color By” method.
  • For administrators: Go to the Employees table (Employees > Employee List), edit the relevant employee’s profile, and adjust the “Color By” method as needed on their profile.

A Note About Calendar Colors

If you opt for color-coding by “Teacher,” you can select a calendar color for each of your teachers on their respective profiles. You’ll find this option under the “Calendar Settings” section on their profile. While a color is automatically assigned when creating a teacher profile, you can fully customize it.

Similarly, if you choose to color-code by “Student,” you can make these updates on each student’s profile under the “Student Details” section.

By implementing color-coding, you’ll have a visual way to quickly identify and differentiate between students, teachers, locations, or services on your calendar. This feature can save time and reduce the likelihood of scheduling conflicts.
