Teachworks supports several billing methods, including non-hourly options such as the Flat Fee billing method. With this billing method, clients are billed for a set amount regardless of the number of lessons they’ll be taking over a period of time. If you would like to charge your clients a monthly fee for your teaching services, this billing method would be the perfect solution for your requirements.

In this article, we’ll take a closer look at Teachworks’ Flat Fee billing method.

Flat Fee Billing: How Clients Are Charged

With Flat Fee billing, you’ll create invoices to charge your clients every month, every term, or any other period of time you select. If you set the billing method on student profiles to “Charge Flat Fee”, the costs associated with their individual lessons will be set to zero automatically to prevent any accidental double billing.

How To Use The Flat Fee Billing Method

Using the Flat Fee billing method is an easy 2-step process:

Step 1: Choose The Correct Billing Method On Student Profiles

The first step is to ensure that the Flat Fee billing method is selected on student profiles. You can find this option under the “Billing Details” section of a student’s profile.

This step is important because it will ensure that the cost of individual lessons added to the calendar are set to zero automatically. This measure helps prevent accidental double billing and ensures a smooth billing process.

Step 2: Generate Invoices

Teachworks makes it easy to create invoices one-by-one, or in bulk. If you want to charge multiple clients the same flat fee, the second option will save a lot of time. 

When creating invoices, select the “Add Charge” option and enter all the necessary details on the invoice form.

Under the “Service” column, you may want to ensure that you use consistent titles. This practice not only keeps your reports well-organized but also minimizes billing confusion for your clients.

How To Automate Billing 

In addition to the manual invoicing options mentioned above, you can use our Invoice Autopilot Add-on to automate invoicing altogether. 

You can use our Invoice Autopilot Add-on to set up an invoice schedule that will automatically create invoices with your selected charges. For example, if you would like to charge your clients a set fee every month, your schedule settings might look something like this:

How To View Charge Revenue

Charge Revenue is included as a measure in the Breakdown and Time Series Reports in your Teachworks account.

The Breakdown report allows you to view the breakdown of Charge Revenue by the service you’ve entered on invoices for a particular date range. The Time Series report on the other hand displays the daily total value of Charge Revenue for a selected period of time.
