Simplify Non-Teaching Event Tracking with Teachworks

Are your teachers involved in various tasks and duties beyond teaching that you need to compensate them for? Perhaps they handle administrative work or take on additional responsibilities in your educational business. Teachworks offers an easy and efficient way to track non-teaching hours and earnings, ensuring you can appropriately compensate your employees for all their valuable contributions. 

In this article, we’ll explore how you can accurately track non-teaching hours and compensation in Teachworks.

Tracking Non-teaching Hours

If you’ll be paying teachers based on the amount of time they spend on non-teaching tasks and duties, you can track this by adding “Other Events” to the Teachworks calendar. 

The process works like this:

  1. Decide how wages will be set: If teachers will be paid the same hourly wage for all of their non-teaching hours, you can set the wage directly on their profile. If they will be paid varying rates based on specific tasks, you can set the Non-Teaching Wage Type on their profile to “Use Work List Wage”.
  1. Configure the Work List: If you’ll be using the Work List to set wages for non-teaching events, go to Account & Settings > Work List to add and edit different work types and their associated wages.
  2. Schedule Other Events: Now that you’ve selected the settings to determine wages for non-teaching events, you can go to Calendar > Add Other Events to start logging non-teaching hours and earnings for teachers. 

As non-teaching events are scheduled in the calendar, earnings are tallied automatically. You can view this by going to Employees > Employee Hours and then clicking the “View” icon next to the relevant employee. Non-teaching hours are listed under “Other Hours”.

Tracking Non-Hourly Compensation

If you don’t want to pay teachers an hourly wage for some or all of their tasks, you can record non-hourly compensation instead. This convenient feature also allows you to handle salaries, bonuses, referral fees, and reimbursements with ease.

Recording non-hourly compensation can be done in 3 easy steps:

  1. Go to Employees > Employee Hours
  2. Find the teacher in the list and click the magnifying glass icon to view a breakdown of their personal hours
  3. Next to “Other Compensation”, click the “Add” link

Recording Teacher Payments

Once you’ve confirmed that non-teaching events are being tracked correctly, you can export the data from Teachworks to use with your Payroll System of choice. You can find detailed steps on getting the relevant data here: Getting Employee Hours Data
