Efficient Workflows with Teachworks: Navigating Search Fields & Filters
At Teachworks, we recognize the demands on tutor company managers and administrators like you. That’s why we’re continually enhancing Teachworks to streamline your work processes. Our software includes a range of search fields and filters designed to quickly and easily locate the information you need to accomplish your tasks.
In this article, we’ll take a closer look at some of the search functionality available in Teachworks.
General Search Fields & Filters
Most of the pages in Teachworks feature a search bar in the sidebar to make it easy to find specific records. For example, on the Family List, Student List and Employee List pages, you can search for users by first name, last name or email address. You can also search for users by profile status by adjusting the filters at the top of the table (Active, Inactive, and Prospective).

If you’ve added a custom field on user profiles and you would like to search for clients or employees with specific information captured in the field, you can download the relevant list and do a search in Excel or your preferred spreadsheet program. Custom fields added using the Custom Profile Fields Add-on are available as columns in the download.
On the Invoices page, you can search for invoices by number, or you can search by customer name to see all invoices and credit notes associated with a particular client. You can also type the word “Credit” into the search field to view all credit notes within a particular date range.

Advanced Search Fields For Employees & Students
The Employee List and Student List both feature an advanced search.

Clicking this option will expand search functionality with fields for:
- First Name
- Last Name
- Subject
- School (Student List Only)
- City
- State
- Zip/Postal Code
- Type
- Status
- Sort
- Asc/Desc

The advanced search feature is particularly useful for matching students and tutors. If you assign subjects to student and tutor profiles, you can search by subject. If tutors provide in person services, you can use the City or Postal Code fields to find a good match.
Calendar Filters
The main calendar features a number of different views including a Day, Week and Month view and the following filters:
- Employee
- Location
- Service
- Student
- Family
- Enroll Status
The main calendar also features a “Calendar List View” option. Clicking this option will take you to a list version of the calendar with the same filters listed above.
In addition to the main calendar, there is also a Teacher and Location Calendar. The Teacher Calendar can be filtered by Employee or Subject, making it easy to check tutor availability for specific tutors or by subject.

Lesson Summary Report
The Lesson Summary Report provides detailed information related to lessons and is a powerful time-saver. The report features the following sections:
- Data Type – “Lessons by Student” displays lesson details with information related to the students in a lesson such as the cost, notes, etc. The “Lessons” data type displays top level information about a lesson such as the total fees, wage, profit, etc. but does not include details relating to individual students in the lesson.
- Dates – Select start and end dates.
- Filters – Select one or more options to filter the lessons.
- Format – Display results in list format or totals.
- Grouping – Choose how to group results or do not group them and they will appear in chronological order.
- Order – Choose ascending or descending order.
- Columns – select which columns to display for each of the results.
- Logo – If you are printing or saving a report to PDF to provide to a client you can check the box to include the logo at the top of the report.
