Stay Organized With Custom Lesson Statuses

The Custom Lesson Statuses Add-on is a useful tool for keeping detailed attendance records. It allows you to add additional lesson statuses beyond the default options, which can be helpful for tracking make-up lessons, tutor absences, and other types of lessons that need to be tracked.

In this article, we’ll take a closer look at the Custom Lesson Statuses add-on and how it can be used for one-on-one and group lessons. We’ll also touch on some related add-ons, including the Customer Cancellations Add-on and Enhanced Lesson Completion Add-on.

Getting Started

To get started with the Custom Lesson Statuses Add-on, enable it on the Add-ons & Integrations page in your Teachworks account. Once enabled, you can click the “Settings” link to start creating custom statuses.

When creating custom statuses, they will be mapped to default statuses, such as Scheduled, Attended, Missed, and Cancelled. This keeps pricing and wage calculations consistent. For example, if a custom status is mapped to “Cancelled,” wages and lesson costs will be set to zero automatically when this status is selected for a lesson.

The statuses that you create will be available to select in the following spots:

  • On the Complete Lesson Form in the “Status” menu under the Student Details section.
  • On the Lesson History and Lesson History by Student pages when selecting checkboxes to update lesson statuses in bulk.

One-on-One Lessons

For one-on-one lessons, you can update the status of a lesson using your newly added custom statuses by following these steps:

  1. Find the lesson in the calendar and click on the “Complete” option.
  2. Scroll to the “Status” field under “Student Details.”
  3. Select the relevant custom status.
  4. Save the form.

Alternatively, you can perform this action in bulk by going to Calendar > Lesson History by Student and selecting the checkboxes next to the relevant lessons. A menu will appear at the top of the table to set the status. Choose the appropriate status and click “Go.”

Group Lessons

For group lessons, statuses are set for each student in the lesson. If the same custom status is selected for all students in the lesson, this status is displayed for the lesson. However, if students have different statuses, the status for the group lesson will use the status type rather than the custom statuses (e.g. “Attended”).

There are two methods for handling this. The first method is to go to Calendar > Lesson History and use the checkboxes to set the relevant status. This option works well when you don’t need to enter lesson notes. 

The other method is to use the Enhanced Lesson Completion Add-on. This add-on has a setting to “Set Status for All Students at Once”. If you’ve enabled this option, a menu will be added to the Complete Lesson form to allow you to set the status for all students at once (you will still be able to set individual statuses).

The Customer Cancellations Add-on makes it possible for your customers to cancel their upcoming lessons. In the settings, you’re able to specify the cut-off time for cancellations and choose which status to apply to lessons if a lesson is cancelled before or after the cut-off.

Tracking Lessons With A Particular Custom Status

In some cases, you may want to do some reporting on lessons that are assigned a particular custom status, such as make-up lessons. You can use our Lesson Summaries Report to find the information you need. In the “Columns” field, make sure to select the “Status” option to include this in your report.
